Roles & Responsibilities:
We are seeking a dynamic individual to work closely with the various Business Units (BU) and BU
Heads within the Global Markets Division. She/he would be part of Global Markets admins assistants’
team.
Responsible for a broad variety of administrative tasks for the department
Admin tasks relating to new joiners/leavers/transfer cases
Manage Joiner/leaver checklist
New joiner set up including raising various access request, assigning desk,
coordinate with IT for PC/Phone set up and help in various other on boarding tasks
Contribute to various divisional level activities such as
Head count tracking
Attendance tracking and leave request monitoring
Business Continuity related tasks such as call tree, infra arrangements, etc.
Transition related activities,
Employee engagement activities, etc.
Event management for the team
Help in divisional PPTs including org chart
Coordinate with IT to resolve IT issues impacting broader team
Help teams in raising job requisitions
Manage internal desk booking system to assign desks and coordinate desk moves
Managing inventory of the assets for the team
Coordinate approvals for shift allowance
Travel, T&E, Purchase Requests
Coordinate with the relevant employee and travel desk to make necessary
international/domestic travel such as hotel & airline booking, arranging forex etc.
Check Travel and Expenditures submitted by staff and help staff in raising various
other T&E requests such as internet reimbursement, CFA fees etc.
Manage various purchase request by raising it on internal systems and do necessary
follow ups with various functions
Visitors
Manage preparation of special events, dinners for visitors, etc.
Provide administrative assistance to visitors from other offices
Assist BU heads, other senior managers
Assist in co-ordinating daily calendar for the BU head and plan appointments and
events
Handling calendar; checking deadlines of upcoming tasks and announcing them to
the management for appropriate action
Get trained on various internal online tools and educate staff on the same if required
Manage, lead and assist the team in various projects/tasks and communicate and manage
dependencies affecting the deliverables
